How Art Services International uses digiDOQ
Washington, DC - November 2008 Background:
In the spring of 2007, Art Services Inter-national (ASI) selected Prospect Technologies to create a new e-business Web site to support its extensive art exhibition operations. ASI, an Alexandria, Virginia based non-profit educational institution, organizes and circulates fine art exhibitions of the highest quality to museums and galleries in the United States and abroad.
One of the important aspects of the Web site was the incorporation of Prospect Technologies’ Web based Secure Document Management System – digiDOQ.
Incorporating digiDOQ into the ASI Web site allows the hosting art intuitions and museums to easily download all sorts of photos, contacts, marketing collateral materials, and other relevant items associated with these traveling exhibitions. Historically, ASI experimented with e-mailing materials, snail-mailing CD ROMs and other ‘computer-disks’ to allow these hosting institutions to gain access to these materials in electronic form.
Unfortunately, each method was fraught with problems and making real-time updates was virtually impossible. Plus the expenses of snail-mailing as well as the administrative costs in preparing a mailing / distribution were enormous. And the record keeping on what hosting got what materials … was becoming a night-mare.
How ASI uses digiDOQ:
ASI uses digiDOQ in two- (2) separate ways:
- First, digiDOQ acts as a repository for all of the administrative support / graphics / photos / etc. etc. for every current exhibition as well as those in development. This equates to almost 30 exhibitions at any one time with between 3 and 5 hosting institutions per exhibition. Each institution is given a unique ID and PW and they are able to securely log-into a ‘customized’ web site so they can have access to all the materials for their particular exhibition.

Secondly, Sr. ASI Management now uses digiDOQ as a repository for their financial reports, Board of Director minutes, employee records, and numerous other important and confidential ‘shared’ types of documents and records. And because digiDOQ is Web base, ASI can access these important records, securely and easily from home, while on travel, and on customer sites.

A special area, expressly reserved for institutions confirmed on ASI tours, will enable hosting museums to down-load in electronic form up-to-the-minute exhibition documents, high-resolution digital images, and marketing materials for each ASI exhibition.”
